Job Description

Job Summary
We are seeking a Project Coordinator for a construction-focused opportunity in Irvine, CA. This role is ideal for a detail-oriented commercial construction professional with 3 to 5 years of experience supporting project teams, managing documentation, coordinating billings, and handling contract-related communication. The Project Coordinator will support multiple project managers, project engineers, and superintendents across commercial and industrial construction projects. This position offers a strong team environment, supportive leadership, and the opportunity to be a key administrative and operational partner throughout the full project lifecycle.

Key Responsibilities
- Support project managers, project engineers, and superintendents with project documentation from setup through closeout.
- Prepare, issue, upload, and track purchase orders, subcontracts, subcontractor change orders, owner change orders, and related project records.
- Compile and submit owner billings, pay applications, backup documentation, subcontractor invoices, and conditional waivers.
- Coordinate client, subcontractor, and vendor communication related to billings, documentation, permits, closeout items, and project requirements.
- Maintain accurate project information in Procore and client software platforms, including budgets, schedules of values, meeting minutes, logs, and reports.
- Assist with administrative project controls, including submittals, RFIs, change order documentation, weekly reports, and project closeout packages.

Compensation and Benefits
Salary range: $55,000 to $63,000 per year.
Hourly range provided: $26 to $30 per hour, based on experience.
Schedule: Monday through Thursday in office, 8:00 a.m. to 4:00 p.m., with remote work on Friday.

Additional Skills

Required qualifications and skills:
- 3 to 5 years of experience in a commercial construction project coordinator or similar construction administrative support role.
- Experience with commercial construction billing processes, contracts, purchase orders, change orders, and client correspondence.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience using Procore for project documentation, billing support, reporting, meeting minutes, logs, or related project coordination tasks.
- Ability to collect, review, organize, and submit accurate project documentation and billing backup.
- Strong communication skills with the ability to interact professionally with project managers, project engineers, superintendents, subcontractors, vendors, and client support teams.
- High attention to detail, strong follow-through, and the ability to manage multiple projects and deadlines.
- Ability to work from the main office Monday through Thursday and attend weekly staff meetings.

Preferred Qualifications
- Experience supporting ground-up construction or industrial facilities and infrastructure projects.
- Familiarity with client proprietary billing or construction management software platforms.
- Experience preparing closeout documentation, permit support documents, weekly project reports, RFI logs, change order logs, and meeting minutes.
- Prior experience working closely with accounts receivable, project accounting, or construction billing teams.
