Job Summary

We are seeking a systems-minded person to lead the technical and administrative evolution of our property portfolio. This role is a good fit for someone who can diagnose complex mechanical issues while simultaneously building the digital infrastructure to track them. You will be the architect of our maintenance department, transitioning our historic assets into a modern, data-driven operation by creating the processes, logs, and vendor standards required for long-term scalability. A strong technical background, preventative mindset, and commitment to safety/compliance remain essential for maintaining a safe and efficient tenant environment.

Key Responsibilities

Operational Strategy & System Design

  • Develop and implement comprehensive processes and systems to track work orders, building documentation, and other building-related information.
  • Systematically collect, organize, and manage all construction turnover documentation, including as-built drawings, equipment submittals, and O&M manuals.
  • Manage utility accounts for the entire portfolio, tracking consumption metrics to identify opportunities for efficiency improvements.
  • Maintain accurate, up-to-date maintenance logs, equipment records, and work order status reports, updating building drawings as necessary.

Technical Systems Management

  • Diagnose and resolve complex technical issues to ensure minimal downtime and optimal performance of electrical, plumbing, HVAC, and mechanical systems.
  • Design and manage a comprehensive preventative maintenance program for all critical equipment and life safety systems.
  • Conduct regular inspections of building infrastructure to detect and address potential issues before they escalate.
  • Oversee the operation of HVAC systems to maintain consistent tenant comfort and energy efficiency.

Project & Vendor Leadership

  • Coordinate and oversee maintenance and capital repair projects, ensuring they remain on schedule and within budget.
  • Manage relationships with external contractors and service providers for specialized large-scale projects.
  • Supervise vendor work to ensure strict adherence to property standards, safety protocols, and construction turnover requirements.
  • Assist in space planning, tenant build-outs, and renovation activities as needed.

Compliance & Safety

  • Ensure all properties remain safe and in full compliance with building codes and fire/life safety legislation.
  • Maintain a safe working environment for the team, tenants, and visitors.

Qualifications

  • High school diploma or equivalent required; Associate's degree or vocational training in facilities management or a related field preferred.
  • 3-5+ years of experience in building engineering or commercial facility maintenance, with preferred experience in a supervisory or administrative lead role.
  • Relevant professional certifications (e.g., HVAC, EPA Universal, Electrical, SMA/SMT) are highly desirable.
  • Proficiency with Building Management Systems (BMS) and Maintenance Management Software (CMMS) is required.
  • In-depth knowledge of building systems and the ability to interpret blueprints, schematics, and technical manuals.
  • Strong problem-solving skills, the ability to work independently, and a valid driver's license with reliable transportation.

Work Environment

This position involves a mix of high-level administrative duties and hands-on technical work. It requires the physical ability to lift heavy equipment (up to 50 lbs), climb ladders, and access mechanical spaces. You will travel between properties within the South Downtown neighborhood, interacting daily with the property management team, tenants, and vendors.
