Job Description

Prestigious private equity firm is seeking a Director of Administration to oversee and manage the firm’s administrative operations, with a primary focus on leading and developing a team of seven Executive Assistants who provide high-level support to the firm’s executives and investment professionals. Key Responsibilities

Leadership & Team Management

  • Directly manage, mentor, and evaluate a team of 8 Executive Assistants supporting senior executives and investment teams.
  • Establish clear performance expectations, provide professional development opportunities, and foster a collaborative, high-performance culture.
  • Conduct regular team meetings to ensure alignment and consistent communication.

Operational Oversight

  • Standardize administrative processes, procedures, and best practices across the EA team to ensure efficiency and consistency.
  • Oversee executive scheduling, travel coordination, meeting preparation, and event logistics across the firm.
  • Partner with IT, HR, and Facilities to resolve operational issues and support firm-wide initiatives.

Executive Support Strategy

  • Serve as a strategic thought partner to the COO and senior leadership on optimizing executive support.
  • Anticipate the evolving needs of executives and proactively adapt team structures and workflows.
  • Step in to provide high-level executive support when needed.

Culture & Communication

  • Promote a service-oriented, solutions-driven mindset within the EA team.
  • Uphold strict confidentiality and discretion in handling sensitive information.
  • Serve as a role model for professionalism, adaptability, and firm values.

Qualifications

  • 10+ years of progressive administrative/operations experience, with at least 3 years in a leadership role.
  • Prior experience in private equity, investment management, financial services, or professional services highly preferred.
